There are 4 roles within an organization: Admin, Orderer, Staff, and External Attendant.
- Admins can see, change, and submit every order in the organization, including teammates’ orders. They manage the organization’s settings, team, and shared payment details.
- Orderers can place orders and use the organization’s shared payment methods (credit cards and invoicing), but can’t change the organization’s settings or its team.
- Staff can see and pick meals on the group orders your organization shares on its meal calendar (like a weekly company lunch). They don’t have access to shared payment methods.
- External Attendants can view any order in the organization, but can’t edit orders or use shared payment methods.
Only Admins can invite people or change someone’s role.
What can Admins do in an organization?
Admins can see, change, submit, and cancel any order in the organization, including orders a teammate started. They manage everything related to the organization.
- Only Admins can invite people, at any role, and only Admins can change roles or remove someone from the organization.
- There must be at least one Admin within each organization — you can’t remove or demote the last remaining Admin. Promote someone else first if you need to step away from that role.
- If an Admin pays for a teammate’s order with a new credit card, that card belongs to the Admin, not the teammate. It stays private unless the Admin shares it with the organization.
- If an Admin reorders a teammate’s order, the new order is under the Admin’s name.
What can Orderers do in an organization?
Orderers can place orders, set up group orders, and use the organization’s shared payment methods (credit cards and invoicing), but can’t change the organization’s settings.
- Orderers can’t invite anyone or change roles. Like everyone in the organization, they can copy the meal calendar link from the Team Members tab and share it with teammates.
- Orderers can add and edit Backup Contacts, the teammates we reach about things like delivery issues.
- Orderers see their own orders, plus teammates’ group orders that are open on the meal calendar. They can’t change or submit an order someone else placed.
- Orderers can share their own credit cards with the organization’s other Admins and Orderers.
What can Staff do in an organization?
Staff can see and pick meals on the group orders your organization shares on its meal calendar (like a weekly company lunch). They can also place orders from their own accounts, but they can’t use the organization’s shared credit cards or invoicing.
- If Staff place an order within the organization, Admins can see it.
- Staff invites open the meal calendar, so new Staff land right where they pick their meals.
What about External Attendants?
The Role menu also lists External Attendant. External Attendants can view any order in the organization, but they can’t edit orders or use shared payment information. Once you have one, they’re listed under External Attendants on the Team Members tab.
What about people without an account?
People outside your organization, like clients or contractors, can pick a meal on a group order if you turn on its guest link. They only enter their name — no CaterCow account needed. Guests don’t see your organization’s meal calendar and aren’t members of your organization. See How do I share my group order with my team? to turn on a guest link, and Can I pick my meal without a CaterCow account? for what guests see.
