How do I share my group order with my team?

Put your group order on your team's meal calendar, copy the right link for your team, and turn on a guest link for people outside your organization.

Once you’ve set up a group order, open Sharing Settings on its page. From there you can add it to your organization’s meal calendar, copy a link for your team, and turn on a separate link for guests. Changes save as you make them.

1. On your group order’s page, click Sharing Settings under Group Order Progress. Until the first person responds, the same options also show right on the page.

2. When Calendar Visibility is off, the group order isn’t on your organization’s meal calendar, and only people you send its link to can find it. Click the switch to turn it on.

3. With Calendar Visibility on, the group order shows on your team’s meal calendar. Everyone in your organization can find it there, including people who join later.

4. Under Link Sharing Options, click Copy Link next to your team’s meal calendar link, then send it by email or chat. The calendar link always shows your organization’s group orders that are on the calendar, so the same link works for every group order. To share only this group order instead, click Show Link under the second option.

5. To invite people outside your organization, like a client or a contractor, check I’m inviting guests that are not part of your organization under For Guests (No Login Required). A separate guest link appears. Click Copy next to it and send it to your guests. Guests only enter their name. They don’t create an account or join your organization.

Calendar visibility and guests

  • Who starts on the calendar: group orders placed by an organization Admin start on it, unless that Admin set Share orders with your organization? to No in their order preferences. Group orders placed by an Orderer start off it, so turn on Calendar Visibility when you want your team to find yours there.
  • If the switch is grayed out, you can’t put this group order on the calendar. That happens when your role in the organization is Staff, or when the group order isn’t part of an organization. See what each role can do.
  • Meal reminders only cover group orders on the calendar. If your organization gets automatic reminders to pick a meal, a group order that’s off the calendar isn’t included.
  • Guests aren’t charged for overages. If your group order has a budget limit, a guest who picks something over it won’t pay the difference.
  • Guests can respond without an account. See Can I pick my meal without a CaterCow account? for what they see. Your team can find calendar group orders on their meal calendar.
