Want your team to know what’s for lunch this week? Share a menu: a simple page that lists your organization’s upcoming orders by day, with each restaurant and what they’re bringing. You can send it as a link or a PDF. The video above walks through it.
A shared menu only includes orders you’ve already placed. It isn’t a price quote for a new order.
Share a menu
1. From your organization’s Orders page, click Share Menu at the top.
2. Your upcoming orders are listed by date. Orders you’ve already submitted to the restaurant, whether Accepted or Pending, are checked, so they’re included. Check or uncheck orders to choose what goes on the menu, or use Select All.
3. Give your menu a title. It starts as “Upcoming Menu.” Check Show Quantities if you want the menu to show how many of each item you ordered.
4. Click Create Menu.
5. Your menu is ready. Click Copy Link, then paste the link into an email or a team chat. Anyone with the link can open it, without a CaterCow account. For a printable version, with each order on its own page, click Download PDF Menu.
6. When your team opens the link, they see your menu’s title, then each day’s restaurant, menu photo, and items. If you checked Show Quantities, each item shows how many were ordered.
What your team sees
- No prices, addresses, or delivery times. The menu shows each order’s date, restaurant, and items, with dietary icons where the restaurant has added them.
- Group orders: if an order is a group order your team can see, the menu shows a QR code and a link to your team’s Group Order Calendar instead of a list of items, so everyone can pick their own meal.
- Team surveys: the top of the shared link has a QR code your team can scan to give feedback on past orders. The QR code isn’t on the PDF. If you don’t see it, surveys may be turned off for your organization. See What’s the difference between a team survey and a review?
How your shared menu works
- The link stays up to date. If an order changes, the link shows the change the next time someone opens it, and each PDF download is built fresh. If an order is canceled, it drops off the menu.
- Anyone with the link can see the menu. It doesn’t need a CaterCow account or a login, so anyone you send it to, or who gets it forwarded, can open it.
- Only the orders on your screen are listed. The Share Menu window lists the orders showing on your Orders page, with any filters you’ve set, up to 20 at a time. If an order you want is missing, change the filters or go to the page that shows it, then click Share Menu again. See How do I find and view my orders?
- Orders you haven’t submitted (still in your cart, or drafts) aren’t checked. You can check them to include them, but their menu might change before you place them.
