How do I review responses and spend on a group order?

See who picked what on your group order, before and after it's placed, and download a spend report that splits each meal into what your company covered and what your teammate paid.

On this page

Every response to your group order shows on the group order’s page while your team is picking, and stays on the order’s page after you place it. Organization Admins can also download a spend report that splits each meal into what your company covered and what your teammate paid. The video above covers the first two; the spend report steps are below.

Review responses

1. On your Orders page, each open group order shows how many people have picked a meal so far under Responses. Click View Group Order.

2. The responses table lists everyone who’s responded and the meal they picked. It starts sorted by meal, so the same picks sit together. Click Name or Selected Option at the top of the table to change the sort.

3. An SR icon next to a meal means that person left a special request. Point to the meal to read it. Point to a name to see that teammate’s email.

4. Teammates who won’t be there show as Opted Out, and they don’t count toward your meals. Group Order Progress at the top shows your meals so far against your headcount.

5. To check for new responses, click Refresh at the top of the page. If more than eight people have responded, click Show All... below the table to see everyone.

After your group order is placed

6. Open the order from your Orders page. Under Order Items, click Show Group Order Meal Selections. Each person’s meal is listed by name, along with their email and any allergies they’ve saved. Extra meals you added are listed below.

7. If the group order has a stipend, an orange amount next to a meal shows what that teammate pays on top of it.

Download a spend report

8. On your Orders page, click Reports. Find Employee Spend Reports. Only organization Admins see this section.

9. Choose a Month and a Year. Leave the month on (all) to cover the whole year.

10. Check Include Extras? to add the extra meals you ordered yourself. Then click Download CSV. The report downloads as a CSV file that opens in any spreadsheet app.

What’s in the spend report

The report covers group orders that have been placed, in your current organization, for the dates you chose. Each row is one meal, with:

  • the order number, delivery date, restaurant, cuisine, and package
  • the teammate’s name and email, the meal they picked, and its dietary labels
  • the meal’s price
  • employer_cost: the part your company covered
  • employee_cost: any amount over the stipend that the teammate paid
  • the order’s status, its review rating, whether the reviewer would order again, and any coupon savings, repeated on each of that order’s rows

Teammates who opted out and meals you left out aren’t in the report. Group orders still collecting responses aren’t either; they appear once you place them. With Include Extras? checked, each extra meal gets its own row, named “(extra) - added by” and the name of the person who set up the group order.

How responses and overages work

  • You can change or leave out picks until responses close. Once the deadline passes or the order is placed, the responses table is read-only. To edit, delete, or exclude a meal, see How do I edit or remove a teammate’s meal choice?
  • Teammates pay their own overages. Your order’s price breakdown subtracts them as Group Order Overages, so your total leaves them out. Guests are never charged. For how stipends split each meal, see How do I set a meal stipend for a group order?
  • Only organization Admins can download the spend report. Other roles don’t see Employee Spend Reports under Reports.
  • Opted-out teammates don’t count. They’re listed so you know they won’t be there, but they don’t count toward your meals.
